PASSPORT - IMPORTANT
 

Remember to check your (and any of your guests) passport to confirm it's not expired, or within 6 months of the expiration date. You will need it for travel and will be asked to provide it at time of arrival and hotel registration. A secure copy of your passport will be kept on file.  

 

 

ROOM RESERVATIONS

 

AEG has negotiated a more favorable room rate by prepaying for all rooms in advance via a master account.  As such, AEG will be paying for all rooms in advance and will charge each partner the same amount that would otherwise be paid directly to the hotel.

 

During this registration process, AEG will ask you to commit to reimbursing us your guest room rates for the scheduled dates. Please note that any AEG partner who hit’s their annual AEG bogey, by Dec 31, 2023, will receive their resort room for the 3 nights/4 days complimentary (Includes one spouse/guest) and not be invoiced.

 

At time of check-in at the event, the hotel will require a credit or debit card of your choice for any incidental charges, which would be separate from any room and/or inclusive package charges.

Any/all cancellation fees are the responsibility of the partner and will be billed accordingly by AEG.

 

 

 

FOOD & BEVERAGE

DURING THE RETREAT, AND PRE- OR POST-RETREAT

 

Please note that the JW Marriott IS NOT an ALL-INCLUSIVE resort.  However, they offer, for large groups only, an all-inclusive Food and Beverage Package (and yes—this includes Alcohol😊).  Just as we did last year, AEG is covering this additional cost for each partner plus one guest for the 4 days of the retreat.  However, PLEASE NOTE that if you extend your stay on the front- or back-end, this all-inclusive package offer will be extended as an optional courtesy to all AEG Partners for those days.  Much like the additional room night cost, the all-inclusive package would also be at the partners’ expense.  ADDITIONAL NOTE: If you would like to add the all-inclusive package, you MUST elect at time of booking--The JW Marriott WILL NOT allow you to add this once you’ve locked in your booking.  

 

 

ADDITIONAL NIGHTS

 

Up to 3 nights either before, or after, the event are available at a discounted rate. If you would like to come in earlier or stay later, please make Meena aware of your plans so she may book with the hotel directly.

 

NOTE: If you decide to extend your stay, you must reserve the optional all-inclusive package for the additional days.  It is the partners responsibility for any additional related costs.

 

 

​ROOM OCCUPANCY

 

The maximum number of people per guest room is two (2) adults and two (2) children under 12 years old or (3) adults and one (1) child under 12 years old sharing their parents room. Cribs are available as per request at no extra charge, these will be based on the hotel's availability.
